Getting started

Roles and permissions

Every person has one role, set in Settings → Team & Access. The role decides which pages they can open and which centres they see.

The six roles

  • CRM manager runs the organisation: every centre (including new ones), every page, Settings, lead import and tour times for any centre. The last active manager can't be changed to another role.
  • Enrolment consultant works the pipeline for their allocated centres, plus the Growth section for those centres. No Settings, no import, no tour settings.
  • Centre director has the same enrolment pages as a consultant for their own centres, and sets their centres' tour times and closed days from the Tours page. No Growth section.
  • Family relations looks after enrolled families only: the Enrolled and Withdrawn lists, Churn Risk, and those families' records, email and SMS. They land on the Enrolled list.
  • Marketing sees Marketing, Socials and Analytics across every centre, without opening family records.
  • Reporting sees the Dashboard figures and every Reports tab across every centre, and nothing else. Suits owners, board members and accountants.

Combining roles

  • Anyone who isn't a CRM manager can hold extra areas. For example, Marketing plus Reporting, or a consultant who also runs marketing.
  • In Team & Access, pick the role first, then use Also give access to to add areas. Each shows as its own pill on the person's row.
  • Family pages always stay within the person's allocated centres.
Good to knowPages a role doesn't include are simply missing from that person's sidebar. The same role applies when the person signs in to the mobile app or API.
